Title: Scheduler - Shipboard
Reports to: Operations Manager - Retail
Key Roles and responsibilities
- To schedule the candidates in a timely manner to ensure that the ships are fully staffed.
- To liaise with Area / Op Managers to schedule the appropriate candidate for each department (Mgr, Asst Mgr, TAM, Jewellers, Watch specialists, Perfume specialists, cosmeticians etc) & ship.
- Identifies the right calibre of candidate to a matching ship profile.
- To ensure that candidates have the correct certification/visas for the allocated ship.
- To arrange flights for each candidate in the most cost effective manner and within set budgets
- Issue, update and maintain contract offer packs in line with company/cruise line standards.
- Accurately use company database & systems to update, record & administer embarking/disembarking staff throughout the sign on/sign off process in line with set guidelines.
- Maintain the internal (Outlook) and external (website) systems to ensure existing staff members are responded to within set timescales and followed up on a regular basis.
- Liaise with training providers to organise additional training & cruise line specific medicals ensuring best price agreed.
- Liaises with Recruitment team on candidate progress and needs.
- Develop & maintain relationship with staff in order to optimise retention.
- Maintain accurate records to ensure invoice reconciliation of flights and travel costs
- Assists in general administration and record keeping
